Oilon US Webshop user instructions

This guide walks you through finding parts, placing an order and managing your account, step by step. It is written so that someone using the webshop for the first time can follow it.

Webshop address: shop.us.oilon.com

1. Getting started

The Oilon US Webshop serves distributors, service companies and contract customers. Anyone can browse the range, but prices and ordering require you to log in. The exception is the Outlet section, where prices are visible to everyone.

Shipping. The webshop currently ships within the United States only.

If this is your first visit, work through these steps:

  1. Open shop.us.oilon.com. Accept or adjust the cookie settings in the notice at the bottom of the page.
  2. Log in, or register if you do not have an account yet. See Logging in and accounts.
  3. Find your part using the search box, the menus or the Spare Part Search.
  4. Add it to the cart, pick a shipping method and proceed to checkout.

2. The top of the page

The top of the page stays the same wherever you are on the site. It holds the main functions:

Page header
oilon  Webshop Find products.. Profile English ▾ 🛒 0 Items
ElementWhat it does
Logo Takes you back to the front page from anywhere.
Search box Searches by product name or product code. The product code is the fastest route if you know it.
Log in / Register Shown when you are not logged in. Once you are, it is replaced by Profile.
Language The list also offers Oilon’s European webshop, which is a separate store with a different range, different prices and different shipping.
Cart Shows how many items are in the cart. Click it to open the cart.

Tip. The search box finds a product from the product code alone, for example 34796144. That is the most reliable way, because product names are long and contain many letter and number combinations.

3. Logging in and accounts

Open the login page from Log in / Register at the top of the page. There are two ways to log in. Use the one that applies to you.

A. Oilon business customer or retailer

Use the Login button. It takes you to OilonONE sign-in. If you already have an account for the Oilon Webshop, the same credentials work here.

B. Other business customer

Registering a new account

The registration form is further down the same page, and it asks for one thing only: your email address. A link for setting your password is sent to that address.

Please note. Supplies are available through Oilon distributors only. If you would like to become a customer, distributor or service company, contact spare parts sales at webshop.US@oilon.com before registering.

4. Your Profile

Once you are logged in, the top of the page shows Profile. Everything related to your account is behind it, in a menu on the left:

Menu itemWhat you find there
DashboardOverview and links to the other sections.
Saved cartsCarts you have saved earlier. See Saved carts.
OrdersOrder history with order number, date, status and total. View opens the full order.
AddressesBilling and shipping address. These are used as the defaults at checkout.
Account detailsName, display name, email address and password.
Password reset / OilonONE account detailsChanging your password and managing your OilonONE account.
Log outEnds the session.

Keep your addresses up to date. Checkout fills the billing and shipping addresses from these details, and the shipping quotes are calculated for the address on file. When they are correct, ordering takes only a few clicks.

5. The front page

The front page is worth a look before you start searching. It carries:

  • News. Announcements about the webshop, new features and service interruptions. Click a headline to read the full item.
  • Webshop Outlet. A shortcut into the discounted products.
  • Best sellers. The parts ordered most often, with an Add to cart button right there.
  • Category tiles. Burner Spare Parts, Industrial Heat Pump Spare Parts, Accessories and Electric heating.

A notice bar may also appear at the top of the site with current information, such as shipping restrictions or planned maintenance.

6. Menus and browsing products

The main menu at the top takes you to the product groups and the key pages:

  • Burners – and under it, Burner Spare Parts
  • Industrial Heat Pumps – spare parts, compressors and expansion valves
  • Outlet – discounted and discontinued items
  • Contact info and Returns
  • Spare Part Search – search by the serial number of your unit
  • Instructions – this guide

The sidebar

While you browse products, a sidebar runs down the side of the page. On a phone it moves below the product list. It has two sections:

Sidebar
Products all product categories as a tree
Download price list price list as a PDF or Excel file

Sorting the product list

Above the product list is a sorting menu: Relevance, by popularity, by latest, by price low to high, by price high to low, and by name A–Z. The result count above it tells you how many products the category or search holds.

8. Outlet and special offers

  • Outlet. Discontinued items and single pieces at special discounts. Outlet prices are visible even without logging in, so you can check them before you sign in.
  • Discounted products. Temporarily reduced items carry a Sale! label with the old price struck through and the new price beside it. They appear in their normal categories and in the front page sections.

In both cases, products are ordered in exactly the same way as any other product.

The product page shows:

  • Product code. The same code you can search with, and the one that appears on your order and in the price list.
  • Price. Prices are in US dollars and exclude tax. If the product is discounted, the list price is shown struck through and your price beside it.
  • Discount group. The letter tells you which discount group the product belongs to. The same letter appears in the price list.
  • Availability. For example In stock.
  • Quantity and Add to cart. Change the quantity in the field and press the button.
  • Description and Additional information tabs. Additional information holds the weight in pounds, the customs code and the country of origin.
  • SKU and categories. The categories link straight to the matching product groups.

After adding a product, you can keep shopping and open the cart at the end.

10. The cart

Open the cart from the cart icon at the top of the page.

Editing the cart

  • Remove a row with the red cross at the left of the row.
  • Change the quantity with the arrows in the quantity field, or by typing a number.
  • After changing quantities, press Update cart so the totals and the shipping quotes are recalculated.
  • If you have a discount coupon, type the code into the coupon field and press Apply coupon.

Choosing a shipping method

The Cart totals box beside the cart – below it on a phone – is where the shipping cost is decided. It shows:

  • Subtotal – the products without shipping
  • Shipment – live UPS quotes, each with a price and an estimated delivery date: UPS Ground, UPS 3 Day Select, UPS 2nd Day Air, UPS 2nd Day Air A.M., UPS Next Day Air Saver, UPS Next Day Air and UPS Next Day Air Early
  • Quote me shipping – choose this if none of the UPS options suits, and describe what you need in the Order notes field at checkout
  • Shipping to – the address the quotes were calculated for
  • Total weight of the cart
  • Small Delivery Charge – added to small orders
  • Total

Compare before you choose. The difference between UPS Ground and Next Day Air Early can be larger than the parts themselves on a small order. The delivery dates next to each option make the trade-off easy to see.

Shipping times and cut-off

The cart page carries Oilon US’s current shipping terms in full. The essentials:

ServiceTransit time
Standard Ground5–10 days
Express3–4 business days
Expedited2–3 business days
Next Day Air1 business day

Most orders ship the same business day they are placed and confirmed. The weekday cut-off is 12:30 PM EST; orders after that ship the next business day, as do orders placed on weekends and holidays. Oversized products may take an additional business day. A signature is required on delivery – tell us when you order if you would rather not provide one.

When the cart is right, press Proceed to checkout.

11. Saved carts

If you order similar parts regularly, you can save a cart and reuse it later.

  1. Build the cart as usual.
  2. Type a name for it in the field on the cart page. The name needs at least three characters.
  3. Press Save cart.
  4. Saved carts are listed under Profile › Saved carts.

Each saved cart has four actions:

  • Add to cart – adds the saved products on top of your current cart
  • Replace cart – empties the current cart and uses the saved one instead
  • Excel – downloads the contents as a spreadsheet with product code, product, quantity and prices
  • Delete – removes the saved cart

12. Placing an order

Checkout has four sections. Most of it is already filled in from your account details.

  1. Billing details. Email address, name, street address, city, state, ZIP code and phone. These come from your account by default, so there is usually nothing to change. This is also where you can add your own order-specific number or reference, which is printed on the invoice.
  2. Ship to a different address? Check this if the order goes somewhere other than the billing address, and fill in the shipping address.
  3. Additional information. The Order notes field. If you chose Quote me shipping in the cart, describe your shipping instructions here.
  4. Your order. A summary of the products, shipping method and total. Check it before sending.

Coupons at checkout

A bar at the top of the page reads Have a coupon? Click here to enter your code. Coupons work here too, if you did not already use one in the cart.

Payment method and sending the order

Below the summary you choose how to pay:

  • Invoice Me – Net 30. Pay within 30 days against an invoice.
  • Stripe. Credit or debit card. You can save the card to your account for future purchases, or use a new one each time.

Then confirm that you have read the terms and conditions and press Place order.

After sending, you see an order confirmation page with the order number, date, total and payment method, followed by a breakdown of the products and addresses.

Check before sending. An order cannot be edited afterwards in the webshop. If you spot a mistake, contact spare parts sales right away at +1 229 236 6546.

13. Email notifications

After placing an order you receive notifications at the email address on your order. The first message confirms the order number and that the order is being processed, and repeats the breakdown from the confirmation page: products, quantities, prices, shipping, total, and the billing and shipping addresses.

You also get a separate notification whenever the status of the order changes.

If a message does not arrive, check your spam folder and make sure the email address is correct under Profile › Account details. Orders are always visible under Profile › Orders as well.

14. Price lists

Price lists can be downloaded by category. The tool sits in the sidebar under Download price list and is shown on product and cart pages when you are logged in.

  1. Choose a category from the dropdown. The option All categories produces the full price list.
  2. Press Download price list PDF or Download price list Excel.
  3. Your browser asks whether to open or save the file.

The price list shows the product code, product name, your price and the discount group. The Excel format is handy if you want to process the prices in your own system.

15. Returns

The Returns page holds a form for reporting a defective burner or heat pump spare part. Fill it in carefully – it asks for your contact details and for Oilon’s order number, the code beginning with URS on the invoice or shipment, or your webshop order number.

  1. Agree the return with spare parts sales in advance. Business customers must always do this first.
  2. Submit the form. You receive a confirmation by email.
  3. Attach that confirmation to the shipment and send it to Oilon US within 14 days of receiving the order.

Oily parts must be packed tightly in plastic. If anything about the return is unclear, call spare parts sales at +1 229 236 6546 before shipping.
